February 12, 2024 By Adam Case 01/2024 CITY OF ELIZABETHTOWN JOB DESCRIPTION JOB TITLE: Seasonal Programs Manager Assistant CLASS: 51 – Seasonal DEPARTMENT: Parks and Recreation CHARACTERISTICS OF THE JOB: This position will work in conjunction with the Programs Coordinator at the Pritchard Community Center to assist in the management and development of various high-quality programs and events within the Parks & Recreation Department.
The successful candidate will play a key role in planning and executing various programs, with a primary focus on overseeing the Parks & Recreation Department Summer Day Camp.
This includes supervising camp counselor staff, ensuring smooth camp operations, actively participating in camper activities, and other duties as assigned.
This position will require candidates to have excellent organizational, communication, and public relations skills.
This is a working supervisory position requiring weekend and holiday work.
Supervision is generally received either written or orally from the Programs Coordinator and/or the Parks & Recreation Department Head.
EXAMPLES OF DUTIES: Oversee the daily operations of the Parks & Recreation Department Summer Day Camp, including monitoring camp counselor staff and actively engaging with campers and camp activities; assist the Programs Coordinator in hiring staff, keeping track of employee schedules/timecards, and supervision of staff; hold daily meetings with camp/programs staff to review policies and strategies on how to improve camp/program activities; maintain proper first aid and discipline procedures with campers and effectively communicate issues with parents/guardians as they arise to maintain positive public relations with the summer day camp; document and report all discipline and accident reports to the Programs Coordinator.
Maintain a working relationship with the Programs Coordinator, other parks and facilities, community partners, and the public; assist the Programs Coordinator in the successful implementation of programs and events including attending meetings, creating promotional materials, ordering supplies, creating schedules, setting up and breaking down events, and communicating with staff and volunteers.
Assist with the daily operations of Pritchard Community Center by answering phones, assisting the public, and handling various administrative tasks as assigned by the Programs Coordinator or Department Head.
Work outdoors in all weather conditions.
Work variable shifts including nights, weekends, and holidays.
Perform other duties as assigned.
ELEGIBILITY REQUIREMENTS: • Must be 18 years of age or older • High school diploma or GED equivalent required • Have experience in childcare, education, programing, or related areas • Possess a strong desire to work with children and the public • CPR and First Aid certification preferred • Experience in a leadership role and/or management • Excellent organizational and multitasking abilities • Requires strong communication skills across various platforms • Proficient in Microsoft Office, graphic design software, and POS operating systems.
ESSENTIAL JOB FUNCTIONS: – Perform specific duties as defined in “Example of Duties” – Develop effective, positive working relationships with other employees and the public – Work variable hours and shifts as required – monitors activities to ensure compliance with department rules and regulations; monitors facilities and equipment for proper use; assists in setting work schedules – Plans and organizes assigned programs and activities; develops format and structure of programs; assists in designing publicity and registration materials; coordinates printing, mailing, and distribution of registration forms; orders supplies, trophies, awards, equipment, and materials; publicizes programs and events – Interacts with parents, children, program participants, instructors, coaches, youth associations, community organizations, arts organizations, civic groups, and others regarding programs, events, and activities – Follows verbal and written instructions, demonstrating self-motivation and initiative – Utilizes proficiency in Microsoft Office, graphic design software, and POS systems – Effectively communicate with the public and employees through verbal communication, phone interactions, and email correspondence – Handles financial transactions with accuracy and integrity
